ECR privacy policy

Energy Contract Renewals Ltd ("ECR", "we", "us", "our") is registered in England and Wales, company number 10222453. Our registered office is St. Stephens House, Arthur Road, Windsor, Berkshire SL4 1RU. We act as the data controller for personal data collected through this website and in the course of our broking services, unless stated otherwise.

ECR is a UK business energy broker. We are paid commission by energy suppliers when a contract completes through us; this does not change the price you are quoted and is disclosed further in our terms and conditions.

2. What data we collect

  • Contact details: name, job title, business name, address, phone number and email address.
  • Energy account information: MPAN/MPRN, meter details, consumption data, current supplier and contract end dates.
  • Financial information relevant to billing, such as company registration or bank details required to complete a switch.
  • Communications with us, including call recordings, emails and correspondence.
  • Technical data from this website, such as IP address, browser type and pages visited, via cookies and similar technologies (see our cookie policy).

3. How we use your data

  • To provide quotes and comparisons for business electricity, gas and water contracts.
  • To liaise with energy suppliers on your behalf and to arrange or renew a contract you have chosen.
  • To manage your account and respond to queries, complaints or support requests.
  • To meet legal and regulatory obligations, including record-keeping.
  • Where you have agreed, to contact you with information about renewals or services relevant to your business.

4. Our lawful bases for processing

  • Contract — processing necessary to provide quotes and administer a contract you enter into.
  • Legitimate interests — for example, keeping records of communications, preventing fraud, and improving our service, balanced against your rights.
  • Consent — for marketing communications, which you can withdraw at any time.
  • Legal obligation — where we must retain or disclose data to comply with the law or a regulator.

5. Who we share data with

To obtain quotes and arrange contracts, we share relevant details with energy suppliers and, where necessary, industry bodies responsible for meter and supply registration. We may also share data with IT and telephony providers who process data on our behalf under contract, and with professional advisers, regulators or law enforcement where required. We do not sell personal data to third parties for their own marketing purposes.

6. International transfers

Where any supplier or service provider we use stores or processes data outside the UK, we ensure appropriate safeguards are in place, such as the UK's international data transfer agreement or adequacy regulations, before any transfer takes place.

7. How long we keep data

We retain personal data for as long as necessary to provide our services, to comply with legal, accounting or regulatory requirements, and to deal with any queries or complaints. Typically this means retaining account records for at least six years after a contract ends, in line with standard commercial record-keeping practice, unless a longer period is required by law.

8. Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure of your data, where applicable.
  • Object to or restrict certain processing.
  • Request data portability, where technically feasible.
  • Withdraw consent for marketing at any time.
